How to host a Conference in China as a Foreign Company

More and more foreign companies are holding meetings, conferences, and client events in China – and for good reason. China has great venues, easy international access, and culture that really wows guests.Still, putting on an event here as a foreign company takes more than a hotel booking and a few invites. From visas to stage setup, everything needs to be planned and communicated well in advance.
With years of experience running events in China, Sunrise Tour China have created a straightforward guide covering six key areas to make things easier.

Ⅰ. Visas:
The first thing to figure out is whether your guests can actually get into the country. Visa rules depend on where they're from.

1.For Southeast Asian guests, the process is simple.
Citizens of Malaysia, Thailand, and Singapore can enter China visa‑free with an ordinary passport and stay for up to 30 days. They just need a valid passport and a return or onward ticket when they arrive.

2.For European and American guests, they'll need to apply for a visa in advance, except for some European countries that have visa-free agreements with China. Starting the visa process at least 4 to 6 weeks ahead is recommended. This leaves room for appointment wait times, extra document requests, and possible administrative delays.

Picking a city:

1.For Southeast Asian guests, Guilin or Hainan are solid choices – they're convenient and well set up for events.

2.For European or American guests, go with Beijing or Shanghai for the main event. Then throw in Xi'an, Guilin, or Hainan as an extra tour before or after – they're perfect for giving guests a real taste of China.

Ⅱ. Flights

Flight prices change a lot – especially for business class and group bookings. We suggest you start asking for quotes about a month ahead, and lock in a group discount with the airline or a travel agent. If your guests are coming from different countries, you can also talk to the airline about a special corporate rate – that usually comes with extra discounts and flexible changes. For guests from visa-free countries, just book direct flights – it saves time and avoids the hassle of layovers.

Ⅲ. Hotels

In big cities like Beijing, Shanghai, and Guilin, hotels fill up fast – especially in spring and autumn when there are lots of conferences.
Advice: book your rooms early and ask for a group discount. If you're bringing a big group, go ahead and ask the hotel for some freebies – like suite upgrades, VIP treatment, or fruit platters. Also, when choosing a hotel, make sure it's easy to get to and has good food options around.

Ⅳ. Special Dietary Needs
If you've got Muslim guests coming, food is something you really want to get right:

1.Talk to the hotel early and make sure they can do Halal food – best if they have a separate Halal kitchen or use a certified supplier.

2.Put a food preference question on your registration form – ask about Halal, vegetarian, allergies, etc., so you know who needs what.

3.For the big dinner, double-check with the kitchen that every ingredient and cooking method is Halal – don't just take their word for it, confirm.

Ⅴ. Facilities & Venue Setup
Most five-star hotels and conference centers in China have top-notch sound, lighting, and projection gear. But still, there are a few things you should double-check:

1.Stage size, backdrop material, and how clear the images need to be.

2.Lighting and sound coverage – make sure they work with the actual ceiling height of the room.

3.How many interpreter channels and receivers you'll need for simultaneous translation.

4.Power load for exhibitor booths and backup power, just in case.

5.Map out the flow so guests know where to go – check-in, exhibits, coffee, VIP area – and don't get stuck in each other's way.

Ⅵ. Choosing a Gala Dinner Venue
The gala dinner is the big finale – it's the one thing guests will talk about afterward.So when picking a venue, keep these things in mind:

1.Easy to get to – keep it within 30 minutes from the main conference venue. Nobody wants a long, tiring ride after a full day.

2.Private and enclosed – go for a hall or courtyard that you can have all to yourselves. You don't want to share the space with random walk-ins.

3.Custom menu options – they should be able to create a menu that fits your theme, and have a clear process for handling special dietary requests.

4.Local flavor – this is a big one. In Beijing, think about a private dinner in a hutong courtyard. In Shanghai, go for a riverside restaurant with a view or a historic villa. In Xi'an, try a Tang Dynasty–themed dinner by the city wall. In Guilin, take advantage of the scenery with an outdoor dinner by the mountains and river. A place with strong local character often leaves a much deeper impression on international guests than a standard five-star hotel ballroom.

Hosting an international conference in China – it's challenging, but there's a lot of upside too. The paperwork and red tape aren't the real issue – what really matters is whether the organizer plans ahead, understands the local market, and pays attention to every detail.

Visas decide if your guests can actually come. Flights and hotels impact their budget and travel convenience. Food and setup shape their overall vibe. And the gala dinner – that's the thing they'll remember.So just remember: start early, confirm every detail, and stay in touch with all your partners.
